Human Resource Assistant/Executive

As we continue to grow across Singapore, Japan, and Taiwan, we are looking for a detail-oriented and people-first HR Executive to keep our people operations running smoothly — from the moment someone joins us to every milestone along the way.

This is a hands-on generalist role at the heart of a fast-growing multi-outlet F&B brand. You will work closely with our operations team across Alchemist Singapore, playing a direct role in how we grow, support, and retain our people.

Responsibilities

Payroll & Compensation

  • Process end-to-end monthly payroll accurately and on time using Talenox — including CPF submissions and IR21 tax clearance
  • Manage leave administration and final salary processing
  • Work closely with Operations to ensure accurate attendance data, timesheet verification via Deputy, and timely payroll uploads

Recruitment & Onboarding

  • Manage the full recruitment cycle for outlet and operations roles — from job posting and candidate sourcing to interviewing and offer management
  • Prepare and maintain recruitment materials, including job descriptions and employment contracts
  • Facilitate new employee orientation and onboarding — ensuring every new joiner feels welcomed, informed, and set up for success from day one
  • Support work pass applications, renewals, and cancellations in compliance with MOM regulations

HR Administration & Employee Relations

  • Maintain accurate and up-to-date employee records digitally across Talenox and our HR systems
  • Prepare HR correspondence, including employment letters, promotion letters, salary adjustment letters, and employment verification letters
  • Support employee relations matters — including counselling, grievance handling, issuance of warning letters, and offboarding procedures
  • Serve as a reliable and approachable first point of contact for HR queries from employees and management across all levels

Data Management & Ad Hoc Support

  • Process attendance reports, pro-family leave submissions, and government-paid leave claims accurately and on time
  • Archive employee records in accordance with Alchemist's HR policies and PDPA requirements

Requirements

  • Diploma or Degree in Human Resource Management or equivalent
  • At least 2 years of hands-on payroll and recruitment experience in F&B, retail, or a recruitment agency environment
  • Proficiency in HRMS and payroll systems — familiarity with Talenox and Deputy is a strong advantage
  • Organised, meticulous, and comfortable managing multiple priorities without losing attention to detail
  • Strong communicator who can engage confidently across all levels of the organisation
  • Comfortable working independently in a lean team environment
  • Ability to converse in Mandarin is an advantage, to support communication with our Mandarin-speaking outlet teams and candidates
